Housing deadline: Monday, May 10, 2027, at 10 p.m. ET, or when the room block sells out, whichever comes first. After the deadline, reservations depend on availability and hotels may charge higher rates.
Plan your arrival: Room nights before May 31 are not available due to the Indy 500 race.

Waitlist and suites
Hotel inventory changes daily. If a requested night is unavailable, use the online reservation system’s waitlist feature. Continue checking availability or contact Orchid Events for assistance.
For suite rates and availability, email help@orchid.events. Book a reservation at your desired hotel first, then include your suite requirements, such as a separate living space or a large meeting table. Suites typically cost at least twice the price of a regular room.

Orchid Events will email reservation acknowledgements within 24 hours for online and telephone bookings. If you do not receive yours, contact help@orchid.events. You will not receive written confirmation from the hotel.
Add help@orchid.events and info@cvent.com to your trusted email addresses to receive reservation information and deadline reminders.
Reservations cancelled after April 16, 2027, are subject to a $30 processing fee per room charged by Orchid Events. Cancellation within 72 hours of arrival forfeits the full deposit of one night’s room and tax.
Through May 10, 2027, make changes or cancellations online or email help@orchid.events. After May 10, contact your hotel directly.
Some hotels may take full control of reservations and remaining inventory as early as April 16, 2027, at their discretion. Orchid Events does not control whether or when this happens.
